Bank Statement PDF to Excel (South Africa)

What you get in Excel

Accounter converts South African bank statement PDFs into a CSV file that opens directly in Excel, with date, description, debit, credit and balance columns, checked against the running balance. It costs R0.32-R0.50 per page on monthly plans, and a free account gets 10 free pages a month. The website exports CSV, not .xlsx.

CSV on the website; CSV or Excel in the Accounter ChatGPT app.

Open the CSV in Excel without broken dates

Most “wrong” figures in Excel come from opening the CSV with the wrong regional settings, not from the extraction. Importing it takes a minute and keeps dates and amounts intact.

  1. 1.Do not double-click the CSV. Open a blank workbook in Excel instead, then choose Data > From Text/CSV and select the file.
  2. 2.In the preview window, check that the file origin is 65001: Unicode (UTF-8) so rand amounts and special characters in descriptions are not garbled.
  3. 3.Set the delimiter to Comma. If every row sits in one column, the delimiter is wrong, not the file.
  4. 4.Choose Transform Data, select the date column, then use Data Type > Using Locale. Pick Date as the type and English (South Africa) as the locale so 03/04/2026 is read as 3 April, not 4 March.
  5. 5.Do the same for the debit, credit and balance columns: type Decimal Number, locale English (South Africa), so the decimal separator is read the way South African Excel expects.
  6. 6.Select Close & Load. Format the date column as DD/MM/YYYY (Format Cells > Date) and spot-check the first and last rows against the PDF.

Checks to run once the data is in the sheet

  • Add a SUM of the debit and credit columns and compare them with the totals printed on the statement.
  • Confirm the first balance, the last balance and the transaction count match the PDF.
  • Keep amounts as numbers: if a column is left-aligned, Excel is treating it as text.
  • Need the file in Google Sheets or an accounting package instead? See preparing a statement CSV for Excel or Google Sheets.

Excel questions

Can I get .xlsx?
Not from the website: the bank statement converter on accounter.co.za exports CSV, and the CSV opens in Excel. The Accounter ChatGPT app can also return the extracted statement as a .xlsx workbook with transaction and summary sheets.
Why are my dates wrong in Excel?
Excel reads a CSV date using your computer’s regional settings. If those are set to US dates, 03/04/2026 becomes 4 March and any day above 12 stays as text. Import with Data > From Text/CSV and set the date column to English (South Africa), or change the Windows region to English (South Africa), then check a date with a day above 12.
Can I combine 12 statements into one sheet?
Yes. Convert each month, then load the 12 CSVs in one go with Data > Get Data > From File > From Folder and combine them into one table. Keep the source file name as a column so you can trace a row back to its PDF, and compare the closing balance of each month with the opening balance of the next to catch gaps or overlaps. The batch tool can run several PDFs for you in one go.
