Common questions about this template

SARS requires you to keep financial records for a minimum of 5 years from the date of the last entry. For VAT records, the retention period is 5 years from the date of the transaction. Keep both digital and physical copies where possible.
You can deduct expenses incurred in the production of income, including: office rent, salaries, professional fees, vehicle expenses (business portion), telephone and internet, stationery, insurance, and depreciation on business assets. Expenses must be supported by valid documentation.
Record transactions as they happen, ideally daily or at least weekly. The longer you wait, the more likely you are to miss transactions or lose receipts. Set aside 15-30 minutes per week for bookkeeping.
For very small businesses and freelancers, this template is a practical alternative to full accounting software. However, as your business grows (especially if VAT-registered), you should consider moving to proper accounting software for automation and compliance.
Only record the business portion of mixed expenses. For example, if you use your phone 60% for business, record only 60% of the cost. SARS expects reasonable apportionment supported by documentation.
